This fire department has what is known as an Annual Meeting. This meeting allows the Board of Directors and fire department management to interact with the public it serves and obtain their input. The below agenda is normally followed, but the fire department is not limited to the following agenda:
These meetings will be held on the 4th Tuesday of each month, at the main station of the Department and the meeting will start at 7:30 p.m
The Secretary of the Board shall keep minutes of each Open Meeting of the Board of Directors, so that a person not in attendance would have a reasonable understanding of what transpired in the open meeting. If a tax payer of the Fire District requests a copy of the minutes, the fire department will provide you with a copy as soon as the minutes are approved by the Board in the following Open Meeting of the Board.
The only time a meeting may be closed to the public is when we are holding a “Closed Session Meeting”. Closed Sessions are only used to discuss the following: personnel matters, information pertaining to purchasing a future piece of property, or to obtain legal advice from the Department’s legal counsel.
Like any other business, the Board of Directors and management staff must protect the Department. The Oxford (Catfish) Fire Department does not have to meet the requirements laid-out by North Carolina public meetings and information laws, because it is not a government agency. However, the Board of Directors strive to be as transparent as possible while also providing protection to the Department under their fiduciary duties.
The Secretary of the Board shall keep minutes of each Closed Session Meeting of the Board of Directors, so that a person not in attendance would have a reasonable understanding of what transpired in the meeting. The Closed Session Meeting minutes will be kept separate from the Open Meeting minutes. If a tax payer of the fire district requests a copy of these type minutes, the Board of Directors shall review the request and if the issue addressed within the Closed Session Meeting is no longer sensitive, then the Board may, at their sole discretion, release them.
